JOB SUMMARY: The Student Affairs Office Assistant will provide assistance and support to all areas of the Student Affairs office, including Admissions, Recruitment, Registrar, Financial Aid, and Student Services.
CHARACTERISTIC JOB TASKS AND RESPONSIBILITIES: The following are a list of exercises that may be required as a member of the staff from time to time:
Promotes and preserves the mission of LECOM;
Acts as administrative representative with faculty, staff, and visitors in a professional, friendly manner at all times;
Maintains confidentiality, professional appearance, and pleasant demeanor;
Covers reception desk as needed;
Provides general data entry support, assists in copying, scanning, faxing, archiving, envelope stuffing, assembling packets, making phone calls, and other clerical tasks;
Greets, answer questions, and helps members of the LECOM Community (incoming students, current students, alumni, faculty, and staff);
Supports the Registrar and Assistant Registrar in routine tasks, including data entry, transcript requests, and maintaining student records;
Builds and files charts for all programs, including osteopathic, dental, pharmacy, and EAP;
Assists in department mailings;
Builds reports to include chart status tracking reports, days in current state, and class build;
Files a variety of documents in student permanent files as needed;
Assists in grade reporting at the end of each semester;
Assists in making notes in electronic records on Jenzabar and/or other applicable systems for student records;
Assists Admissions in keeping track of documentation for incoming students;
Assists in the planning and coordination of interviews, on-campus visitation, and special recruitment programs;
Responds to questions and inquiries from prospective students on the various programs offered at LECOM on all campuses;
Provides campus tours to prospective students;
Assists in maintaining the integrity of students’ personal information and academic records and helps to resolve problems regarding academic student records;
Assists with aspects of financial aid as needed;
Acts with integrity, honesty and knowledge that promote the culture, values, and mission of LECOM;
Maintains a calm demeanor during periods of high volume or unusual events to keep operating to standard and to set a positive example for the overall department;
Contribute directly to the Mission of LECOM embodying the essence of Osteopathic Principles and Practices by assisting with Institutional fundraising and participating in the LECOM Scholarship Auction;
Participate in scholarly activity so to enrich and broaden the student learning experience;
Commit to being a representative of LECOM by being actively involved in the community, including, but not limited to, serving on Boards, participating in community fundraisers and overall outreach; and
Performs other related duties as may be required from time to time by the Director of Student Affairs and/or his/her designee as assigned for the purpose of ensuring the efficient and effective functioning of the Institution.

Job Requirements:
KNOWLEDGE, SKILLS, ABILITIES AND PERSONAL CHARACTERISTICS: Must possess required knowledge and be able to explain and demonstrate, with or without reasonable accommodations, that the essential functions of the job can be performed.
Strong computer literacy with MS Office Suite (Word, PowerPoint, Excel…etc.) and accurate data entry skills;
Enthusiastic, good sense of humor, and a professional positive attitude;
Ability to understand the admissions process and assist with marketing and promoting professional programs in healthcare administration, medicine, pharmacy, and dentistry;
Ability to perform general office duties;
Ability to be trained and certified on the Institutional Data System;
Effective communication skills, both written and verbal;
Knowledge of the protocols and procedures in Institutional education, and of academic and student records terminology;
Willingness to assume responsibility and demonstrable accuracy concerning daily work assignments;
Good public relations and marketing skills;
Establish and maintain effective working relationships;
Ability to work effectively under pressure in a fast paced environment;
Confident in handling ambiguity and fluid situations and have an abundance of common sense and pragmatism;

MINIMUM QUALIFICATIONS:
Education and experience equivalent to:
Education: High school or equivalent required. Associate’s or Bachelor’s Degree preferred.
Experience: Previous experience in an office environment or similar experience preferred.
Salary Range: $17.00 - $21.00 per hour
