Patron Services Manager

Patron Services Manager with the Erie Philharmonic

STATUS: Full-Time                                

REPORTS TO: Director of Marketing and Development

JOB SUMMARY:

The Patron Services Manager is responsible for a variety of tasks, including patron relations, maintaining the Erie Phil Box Office, answering phones, ticketing and subscription reports, daily deposits, general maintenance of office needs, etc.

 

JOB DUTIES AND RESPONSIBILITIES: 

Patron Relations

  • Manage and maintain CRM database and ticketing software, including all data entry, file maintenance and establishment of consistent record-keeping practices
  • Oversee all box office transactions and patron relations
  • Create all concerts, subscriptions and events in Patron Manager
  • Produce detailed, accurate lists and weekly reports
  • Track all comp tickets and vouchers
  • Responsible for handling incoming cash flow and generating reports
  • Responsible for handling incoming and outgoing phone calls
  • Oversee the donor acknowledgement program, including producing weekly letters for donors and new subscribers
  • Maintain the honor roll for program books
  • Plan and implement all stewardship and cultivation events 
  • Sit on Erie Philharmonic Marketing Committee
  • General office operations, including oversight of supply room
  • Other duties as assigned 

Annual Fund

  • Aid in lower-level donor cultivation
  • Establish a strong Annual Fund appeal schedule and case statement
  • Organize mailings with Director of Marketing and Development 

Volunteer Coordination

  • Serve as staff liaison for all volunteer opportunities, including concert ushers, special events and office volunteers

Administrative Support

  • Help present a professional lobby presence at all Philharmonic events and the office
  • Serve as main box office staff during office hours and all extra functions

 

QUALIFICATIONS:

The Erie Philharmonic is looking for the following recommended qualifications for the position of Patron Services Manager:

  • Extensive knowledge of Microsoft Office, especially Excel
  • Knowledge of Patron Manager preferred 
  • Excellent telephone and sales skills
  • Willingness to work some evenings and weekends per concert and event schedule 
  • Demonstrate the ability to work in a fast paced, high-energy environment and manage multiple projects simultaneously
  • Collaborative and positive attitude 
  • Demonstrate a willingness to be a team player in a highly collaborative environment
  • Attention to detail 
  • Excellent verbal and written communication skills 
  • Flexibility and willingness to take initiative
